Rainbow Gala Creators' Market Booth Application Terms and Rules
Thank you for your support of Rainbow Gala! Please read the following terms and rules carefully. By submitting an application, you agree to all terms and accept the organizer’s final decisions.
Application and Review Process
1. Application Process: Applicants must submit their booth applications within the specified dates. The process includes:
2. Notification of Results: Application results will be announced approximately one week after the deadline. All applicants will receive a notification, regardless of the outcome.
3. Booth Fees and Payment: Each booth costs $980. Selected organizations must complete payment by the specified date. Failure to pay on time will result in automatic cancellation, and may result in being blacklisted, affecting future applications. The blacklist is confidential and inquiries will not be accepted.
4. Refund Policy: No refunds are available. Doujin circles may privately transfer their booth, but the organizer reserves the right to refuse changes to booth names or promotional images.
5. Priority Review Standards: Doujinshi booths will be prioritized, especially those with publications. Booths selling only merchandise or non-publication items are not prioritized. Additionally, applications for both event days will be given priority. Non-doujinshi categories (such as original crafts and cosplay) have limited booth availability.
Booth Specifications
Booth Size: The table is approximately 183cm x 76cm, with a height of 92cm, and includes two chairs.
Admission: Each booth is allotted four passes, with two free and two paid.
Exhibitor Tickets: These are for early entry to set up before the event opens and are limited to pre-opening hours.
Adjacent Booth Applications: Applicants may apply to be adjacent to one other booth, and must include each other’s group names on the application. Adjacent booths must choose the same gender preference and main reference works, or it may affect review results.
Information and Image Requirements
Circle Cut Specifications: Please provide a 400 x 400 pixel, 300dpi JPEG image. Applications with images that do not meet specifications will be invalid. No modifications are allowed after submission.
Product Declaration: Applicants must declare all products for sale at Rainbow Gala. Non-doujin booths are prohibited from selling commercial or counterfeit products.
Terms for Overseas Exhibitors
Visa and Legal Responsibilities: Overseas exhibitors are welcome to apply, but all visa and entry arrangements are the exhibitor’s responsibility. The organizer assumes no legal liability or entry responsibility. Exhibitors engaging in transactions without the proper visa may violate Hong Kong law; please be aware of relevant risks.
Organizer’s Rights
Review and Allocation: The organizer reserves the right to make final review decisions and is not obligated to disclose review procedures. Final booth numbers and event days are determined by the organizer and are not subject to dispute.
Inquiries and Complaints: The organizer does not accept inquiries or complaints regarding review results. Applicants must respect all decisions.
Blacklist Policy: Exhibitors who have previously shown disrespectful behavior toward the organizer or staff, or have been absent without notice, may be blacklisted. The blacklist is confidential and inquiries will not be accepted.
Payment Methods
Payment: Applicants must complete payment by the specified date. Accepted payment methods include credit cards, Payme, FPS, bank transfers, or direct deposit.
All applications, once submitted and payment completed, are considered final and confirm your participation as well as acceptance of the related terms and conditions. Please ensure that you carefully review your booth details and payment amount before submissiion. Refind requests or payment adjustments due to errors caused by the applicant or other personal reasons will not be accepted.
Final Statement
Submitting an application form signifies that the applicant understands and agrees to all terms and will respect the organizer’s final decisions.
Fee: All members of the performing group (including assistants) are required to pay a participation fee of $150/person.
*This fee covers pre-event rehearsals, backstage dressing room access, and entry to the event on the performance day.
Application Deadline: December 27, 2024, at 23:59
Notification: The list of selected groups will be announced approximately two weeks after the deadline. Applicants will receive an email notification.
Payment: Approved groups must complete payment by the specified date.
Application Requirements
1. Each form submission represents one group application.
2. Multiple performance slots can be selected; however, the organizer reserves the right to allocate performance days.
3. Provide a URL (e.g., website, Facebook, Instagram, or YouTube) that introduces the group.
4. Group image/logo must meet specifications (400 x 400 pixels, 300 dpi, jpeg); otherwise, the application will be considered invalid.
5. Submitted images cannot be modified after submission.
6. Groups with a doujin booth must still pay the performance fee.
7. Groups approved for performance are expected to attend RGHK. Absences will result in blacklisting.
8. Specific performance and rehearsal times cannot be guaranteed.
9. Backstage dressing rooms will be available for one hour before the performance and must be vacated promptly afterward.
Safety and Conduct
Performers are prohibited from using any items that may pose a safety risk to attendees or participants, such as open flames or dangerous props.
Performers must maintain respectful behavior. Violations may result in removal from the event.
Performance Content Guidelines
Performance content should be suitable for the event’s audience, avoiding inappropriate or overly explicit material, as determined by the organizer.
Cancellations or Changes
The organizer reserves the right to make adjustments or cancellations to the schedule due to unforeseen circumstances.
